What is COMMUNICATION? Based on the oxford dictionary it means exchanging information or news. It could be sending or receiving information through email, paper, phone etc.

Communication plays a vital ROLE not only in all types of relationships but even at work. We should know how to communicate properly in order to accomplish our daily task on time. Not only that relationship with your co-workers will vary on how you communicate with them.

Let me ask you, how's your communication skills? hehe mine? I can say I am okay in written but in verbal. Ahmmm just xoxo. I still have my " Ilongga" accent sometimes. You know the twist of the tongue in pronouncing letters " E" and "I".

Earlier at work, I was annoyed because of the email I received from our branch. It is because of how she stated her concerns. Hehe, I can say she didn't know the correct choice of words. So that made me think why not write about it today.


DISCLAIMER: Just sharing things based on my own experience. If there is someone who can read this article of mine and knows better, I would gladly read your opinion in my comment section.

Proper way of sending an email.

Email has been one of the common ways of communication since I started working aside from phone calls. For me I prefer email when I need it for documentation purposes. You know it was easy to deny everything when not documented. Aside from that it would be easy to recall things in case of a memory gap. LOL.
So in writing an email don't forget the following;

  • To whom email is addressed. Be mindful of To: CC: and BCC as you might irritate someone included in TO: though email is not for them.

  • Subject - this is very important. As for me who receives bulk of emails sometimes I would prioritize replying based on SUBJECT. This is also for the receiver to determine the importance or urgency of your message. In addition it would also be easy to search your email.

  • File name for attachments - this is very common in receiving an email. Sometimes the sender does not mind it. But hey! That's informal for me.

  • Be precise - as much as possible do not send long emails. Your concerns/purpose of your email should be indicated immediately.

  • Signature email - though it is just optional.

Sending concerns Via messenger/Viber.

Before employees' are not allowed to use their cellphones at work. Opening applications such as messenger and Viber now it's different. The ways of communication also evolve. I at work was using both messenger and viber as ways of communication. Messenger for our clients and co- employees and Viber for the EOs. I was actually handling one FB page for the Finance department. So far this are the common practices I felt so wrong, hahaha.

  • Sending "Hi" message or emojis, gifs. - honestly I don't respond with these chats. I mean if you have concern why not state what it is? We are not chat mates or friends to begin with. I remember one time one of the Branch heads complained to my Department head. He says I am not responsive. How can I ? He just say "HI". See? So I told my immediate head I intentionally did not reply. Oops, don't be like me. haha

  • Avoid calling several times - I know, there are really some who like VIPs as they wanted their concerns to be attended immediately. So when they send a message and don't get a response . They will call. That's okay as maybe the receiver was busy and unable to read your message. Yet if the receiver is unable to pick up your call, DON NOT keep on calling. That's simply mean the reciever is unavailable.

This I am sharing are just few as I don't want you guys to get bore and I am not even sure if you will appreciate this article of mine. If you did your opinions are welcome below.

Communication has been playing vital role right from day one when they were no civilization and even now that there’s civilization there are numerous ways that we can’t communicate with the use of phones and internet. There are many forms of communications in business. Both verbal and non verbal.

I can express my thoughts well in writings but in verbal I didn't. Spontaneity is very important especially in communication skills whether in verbal or writings.
